SECRETARIAT FUNCTIONS

FOREIGN DIGNITARY VISITORS

Foreign Dignitary Visitors: The Department hosts dignitaries from around the world. X-20 provides substantive and logistical support for Secretarial meetings with heads of state, ministers, ambassadors and others.

Activity: Provide substantive and logistical support for Secretarial meetings.

Background: Over the years, the Department has hosted dignitaries from around the world. X-20 provides both substantive and logistical support for Secretarial meetings with heads of state, ministers, ambassadors, and others.

This support encompasses initial contact with the embassy; recommendation on whether a particular meeting request should be accepted; arrangement and coordination of all visit details. Support includes, but is not limited to, consultation with the foreign embassy to develop an agenda of issues; coordination, preparation, and compilation of briefing materials and memoranda; coordination of meetings in modal administrations; and, arrangements for photographer, gift, and escort of visitor(s) upon arrival at DOT. In addition, X-20 attends such meetings as participant(s) and/or to provide a control point for follow-up on commitments made by the Secretary, Deputy Secretary, or Under Secretary for Policy on behalf of the Department.

During the last two years, we have organized the Department’s hosting of such dignitaries as the Prime Minister of Cape Verde, European Commission Vice President and Commissioner for Transport Loyola De Palacio, German Members of Parliament, and the President of the International Civil Aviation Organization Assad Kotaite. In addition, we have arranged the Department’s hosting of more than 50 Ministers of Transport and numerous Ambassadors from Asia, Europe, Africa, and the Western Hemisphere.
